Rubik Technologies Limited is responsible for UK operations. Rubik Technologies (Ireland) Limited is responsible for Irish and relevant EEA operations. The entity that manages your relationship will normally be the controller of your personal data. In some situations both entities may use the same systems and act as separate or joint controllers.

We may receive professional information from your employer, colleagues, event partners, referrals, service providers and publicly accessible sources such as company websites, Companies House, LinkedIn and professional directories. Visitor-identification and advertising providers may provide company or professional profile information where their services are legally available.

Where we rely on legitimate interests, we consider the benefit to Rubik and its customers against the effect on your privacy and your reasonable expectations.

We may send relevant business communications to professional contacts where you have consented or where applicable law allows us to rely on legitimate interests. We provide an unsubscribe option and honour objections to direct marketing.

We may use website engagement, company information and public professional information to prioritise accounts and tailor business communications. We do not make decisions based solely on automated processing that produce legal or similarly significant effects on you.

We may share personal data with the other Rubik entity and with carefully selected providers that support hosting, forms, email, customer relationship management, analytics, advertising, visitor identification, video, security, professional advice and business administration.

Current website and legacy-page providers include Ploy, Cloudflare, Webflow, CookieScript, Google, Meta, LinkedIn, RB2B, YouTube and Loom. Our Cookie Policy explains the device technologies currently expected to operate on the site.

We may also disclose information where required by law, to regulators or law enforcement, during corporate transactions or to establish, exercise or defend legal claims. We do not sell personal data.

Some providers process information in countries outside the UK or European Economic Area. Where required, Rubik uses an adequacy decision or approved contractual safeguards such as the EU Standard Contractual Clauses, the UK International Data Transfer Agreement or the UK Addendum. We may also apply supplementary technical and organisational measures.

• Website enquiries and early-stage prospect records are kept only while the enquiry or potential relationship remains active and for a reasonable follow-up period.
• Customer, supplier and contractual records may be kept for up to seven years after the relationship ends where needed for legal, tax, accounting or claims purposes.
• Recruitment records are kept for the recruitment process and for a limited period afterwards to respond to questions or legal claims, unless you agree that we may retain them for future roles.

Rubik uses technical and organisational measures designed to protect personal data against unauthorised access, loss, alteration and disclosure. Measures are selected according to the nature of the information and the risks involved.

No online system is completely secure. Please contact us promptly if you believe personal data connected with Rubik has been misused or exposed.

The website is intended for business and professional users. It is not directed at children and we do not knowingly collect personal data from children through the website.

We review this notice when our website, services, providers or legal obligations change. We will update the date above and bring material changes to the attention of affected people where required.
